# Privacy Policy > How FMOps handles your data on fmops.ie: analytics, call bookings, the free AI visibility check, AI providers, retention, and your GDPR rights. Source: https://fmops.ie/privacy Last updated: 2026-08-17 Last updated: 17 August 2026. The short version. FMOps is a one-person business in Waterford, Ireland. We collect your details only when you give them to us: when you book a call, use a free tool on this site, email us, or message us on WhatsApp. We count visits with cookie-free analytics that cannot identify you, and we use Google Analytics as well only if you accept the cookie banner. When you run the free AI visibility check, we send your business name, trade, town and website to three AI providers (OpenAI, Perplexity, Anthropic) so they can answer questions about your business. We do not send your name, email or phone number to any AI provider for that check. We do not sell data. We do not send marketing email unless you ask for it. You can ask for your data, correct it or have it deleted at any time by emailing [fionn@fmops.ie](mailto:fionn@fmops.ie). ## Who is the data controller? Fionn Murphy, trading as FMOps, is the data controller for the personal data described in this policy. FMOps is a sole trader business based in Waterford, Ireland. This policy applies to fmops.ie, its free tools, and the services FMOps sells: AI search visibility, websites, automation, and Claude for Small Business installs. It is written under the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018. ## What data do we collect, and why? It depends on how you use the site. Each channel is listed below. ### 1. Website analytics This site uses two analytics tools, and they are treated differently. Vercel Web Analytics runs on every visit. It counts page views and referrers only. It sets no cookies, stores no identifier on your device, and does not follow you between sites or sessions. It is served from fmops.ie itself, so no data goes to a third-party tracking domain. Because it cannot identify you, it needs no consent and there is nothing to switch off. Google Analytics 4 (property G-RDF46XL3CD) is different: it sets cookies, so it stays off until you accept it in the cookie banner. If you reject, or ignore the banner, the Google Analytics code is never downloaded and no Google cookie is ever set. When you have accepted, Google Analytics 4 It records page views and events such as clicks on "Book a call", phone, WhatsApp and email links, scrolling to 75% of a page, form submissions, and completed bookings. GA4 does not store full IP addresses; it uses the IP address only to work out a rough location and then discards it. We use analytics to see which pages and tools people use, so we can improve them. We do not use analytics to identify you personally, and we do not use it for advertising. ### 2. Booking a call Bookings run through Calendly, embedded on this site. When you book, Calendly collects your name, email address, time zone, and your answers to the booking questions (usually your business name, website, trade and town). We receive the booking and store it in our email, calendar and database. See [Calendly's privacy notice](https://calendly.com/legal/privacy-notice) for how Calendly handles your data on its side. ### 3. Forms and free tools The site has several forms and free tools. Each one asks for a little information so we can reply to you or produce a result: - Free AI visibility check: your business name, trade, town, website, your name, email and phone number. - Automation audit and ROI calculator: your name, email, phone, business, website, the tools you use, how much repeat work you handle, and how you prefer to be contacted. - Claude readiness quiz: your answers about team size, email suite, hours spent chasing and writing, timing, and your name, email and business if you choose to send them. The score is worked out in your browser. We only receive your answers if you send the form. - Website tier selector: your answers about bookings and earnings, plus your contact details if you send them. - Contact and newsletter forms: your name, email, and your message. What you send is stored in a database hosted by Supabase. The database region is set when the Supabase project is created; our project is set up in Supabase's EU (Ireland) region. Access is limited to our own server code; nobody can read the database from the public site. How the AI visibility check works. To produce your report we ask three AI providers questions like "Who is a good plumber in Waterford?" and check whether they name your business. To do that we send your business name, trade, town and website to OpenAI (ChatGPT), Perplexity, and Anthropic (Claude) as part of the prompts. We do not send your name, email or phone number to these providers as part of the check. Anthropic is also used to summarise the results into the report you receive. The report is stored so you can open it later from the link we email you. Bots are filtered with a hidden field, and each visitor's IP address is used briefly to limit repeat submissions. Server logs at Vercel may hold your IP address for a short time. ### 4. Email Confirmation emails, reports and notifications are sent through Resend from fionn@fmops.ie. If you reply, or if you email us directly, your message arrives in our Google Workspace mailbox and we hold your email address and the content of the message. Emails between us are kept as part of the enquiry or client record. ### 5. Pre-call brief Before a booked call, we may prepare a short brief so the call is useful. To do that we may look at your public website, run a short AI-search check on your business (business, trade, town and website only, as in section 3), and look up any earlier form you sent us using the same email address. The brief is written with help from Anthropic's Claude; the prompt for that brief includes your name, email address, booking answers, and public information about your business. The brief is for Fionn's eyes only and is deleted with the booking record. ### 6. Review requests About a week after a project is delivered, we may email you once to ask for an honest review. We ask for your honest opinion, whatever it is. You can ignore the email; we do not chase. ### 7. Testimonials We publish a testimonial, your name, business or town only with your written consent. You can withdraw that consent at any time and we will remove it from the site. ### 8. WhatsApp and phone If you call or message us, we hold your phone number and the content of the conversation. WhatsApp is run by Meta; their [privacy policy](https://www.whatsapp.com/legal/privacy-policy-eea) applies to messages on their platform. ## What is our legal basis? - Legitimate interest: to reply to your enquiry, run the free check or audit you asked for, prepare for a call you booked, ask for a review after a project, and measure how the site is used with analytics. Our interest is running a small business and improving the site; your interest in privacy is protected by the limits described here. - Consent: for the newsletter, marketing email, and publishing a testimonial. You can withdraw consent at any time. - Contract: to deliver, support and invoice services if you become a client, and to take steps at your request before a contract starts. - Legal obligation: to keep invoices and tax records for the period Irish law requires. ## How long do we keep it? - Enquiries and leads (forms, tools, bookings, emails): 24 months after our last contact, unless you become a client. - AI visibility check reports: 12 months from the date of the check. - Analytics: 14 months in Google Analytics 4. Vercel Web Analytics keeps aggregate counts only, with no personal data to retain. - Client project data: for the length of the contract, then invoices and records needed for tax are kept for 6 years, as Irish Revenue requires. - Server logs: Vercel keeps request logs for a short period under its own retention settings. When the period ends, we delete the data or anonymise it. ## Who do we share it with? We do not sell your data. We share it only with the service providers (processors) we need to run the site and deliver the work: - [Google](https://policies.google.com/privacy): Analytics (site statistics) and Workspace (email, calendar, documents). - [Vercel](https://vercel.com/legal/privacy-policy): website hosting and cookie-free visit counts. - [Vercel](https://vercel.com/legal/privacy-policy): website hosting, serverless functions, and request logs. - [Supabase](https://supabase.com/privacy): database for form submissions, checks and bookings. - [Calendly](https://calendly.com/legal/privacy-notice): call bookings. - [Resend](https://resend.com/legal/privacy-policy): sending transactional email. - [OpenAI](https://openai.com/policies/privacy-policy), [Perplexity](https://www.perplexity.ai/hub/legal/privacy-policy) and [Anthropic](https://www.anthropic.com/legal/privacy): AI providers used for the visibility check, the pre-call brief and report summaries. See sections 3 and 5 for what is sent. - [Telegram](https://telegram.org/privacy): internal notifications to Fionn only (for example "new lead from Waterford"). These may include your name, email and business. - [Meta / WhatsApp](https://www.whatsapp.com/legal/privacy-policy-eea): only if you choose to message us on WhatsApp. Each provider acts under its own contract and privacy policy. Some are based in the United States. Where data leaves the EU, transfers rely on the EU-US Data Privacy Framework where the provider is certified, or on the European Commission's Standard Contractual Clauses. We may also share data if the law requires it, or with a professional adviser (for example an accountant) under confidentiality. ## What are your rights? Under the GDPR you have the right to: - Access: get a copy of the data we hold about you. - Rectification: correct data that is wrong or incomplete. - Erasure: ask us to delete your data. - Restriction: ask us to stop using it while a question is resolved. - Portability: get your data in a common machine-readable format. - Objection: object to processing based on legitimate interest, including any direct marketing. - Withdraw consent: at any time, without affecting what was done before. To use any of these rights, email [fionn@fmops.ie](mailto:fionn@fmops.ie). We reply within one month. We may ask you to confirm your identity first. If you are not happy with our answer, you can complain to the Data Protection Commission, Ireland's supervisory authority, at [dataprotection.ie](https://www.dataprotection.ie). ## Which cookies do we use? Vercel Web Analytics sets no cookies at all, which is why it is not covered by the banner. Google Analytics 4, only once you have accepted it, sets cookies (such as _ga and _ga_*) to tell returning visitors from new ones and to count sessions. They last up to 14 months. Calendly may set its own cookies, but only when you open the booking widget or the embedded booking page. We use no advertising or tracking cookies from ad networks. You can block or delete cookies in your browser settings; the site still works without them. ## Do we make automated decisions about you? No decision with a legal or similar significant effect is made about you automatically. The Claude readiness quiz score and the AI visibility check result are informational only. They help you decide whether to talk to us; they do not decide anything for you, and a person reads every report and enquiry. ## Children This site and our services are for businesses. They are not aimed at anyone under 18, and we do not knowingly collect data from children. If you think a child has given us data, email us and we will delete it. ## Changes to this policy If this policy changes, the new version appears on this page with a new "Last updated" date.
